The reality is more useful and more honest: Microsoft 365 Copilot is a genuinely capable assistant, but whether it pays off depends far more on how you roll it out than on the licence itself. This is a plain-language look at what Copilot does, where it helps, and how to deploy it without surfacing sensitive files to the wrong people. What Copilot Actually Does
Microsoft 365 Copilot is the AI assistant Microsoft builds directly into the apps your team already uses: Word, Excel, Outlook, PowerPoint, and Teams. This is the most important section, and the one most rollouts skip. Copilot respects each user's existing permissions: it can only see files a person already had access to. That sounds safe, and in principle it is. The catch is that it makes any oversharing already sitting in your environment far easier to surface.
Most businesses have files in SharePoint, OneDrive, and Teams that are technically shared more widely than anyone intended: a folder set to "everyone in the organization," an old site nobody locked down, a salary sheet in a channel with the wrong membership. Today those files are hard to stumble onto because nobody knows the exact path. Copilot removes that accidental protection. Ask it a natural question and it will happily pull an answer from a sensitive file that someone technically had access to but never would have found on their own. How to Roll It Out Safely
A safe Copilot rollout is governance-first. Turn it on for a whole company overnight and you inherit every permission mistake at once. Work through these steps in order instead:
- Audit and fix oversharing and permissions first.Find the files and sites shared too widely, tighten access, and clean up "everyone" links. This is the step that protects you, so do not skip it to save time.
- Pilot with a small group. Give Copilot to a handful of people across a couple of teams, watch how they use it, and learn what surfaces before you scale.
